GST: Veterinary Services Are Taxable, Not GST-Free
This trips up a lot of new practice owners, especially those who've worked in or alongside human allied health, where treatment is commonly GST-free. Veterinary services don't get that exemption. Consultation fees, procedures, surgery, medication dispensed and retail products all attract GST, and every one of them needs to be reported as taxable on the BAS. There's no split needed here the way there is for physios or podiatrists, but that also means there's no room for error, all vet income is taxable, full stop.
Drug and Consumable Inventory: The Biggest Bookkeeping Gap
Veterinary clinics typically hold significant value in scheduled drugs, vaccines, surgical consumables and retail stock, often tens of thousands of dollars sitting in the dispensary and treatment room at any given time. Xero's native inventory tools aren't built for this level of detail, expiry dates, drug register requirements, batch tracking. Most well-run clinics pair Xero with a dedicated veterinary practice management system for stock control, then feed summary journal entries into Xero for financial reporting, rather than trying to run inventory inside Xero directly.
| Cost centre | Typical tracking approach | Why it matters |
|---|---|---|
| Scheduled drugs / vaccines | Practice management system, drug register | Legal compliance, expiry and controlled substance tracking |
| Surgical consumables | Practice management system stock module | Cost per procedure visibility |
| Retail products (food, flea/worm treatment) | POS/inventory system, summarised into Xero | Margin tracking separate from clinical services |
| Dispensing markup vs fee | Separate revenue lines in Xero | Reveals whether markups cover wastage/write-offs |
Watch: Inventory & Payroll Bookkeeping for Melbourne Veterinary Clinics
Read the video transcript
If you're running a veterinary clinic in Melbourne, the first thing worth knowing is that, unlike a GP or dentist, your treatment income is fully taxable, GST applies across the board, consultations, procedures, medication, retail. There's no GST-free carve-out for vets.
The bigger bookkeeping challenge is usually inventory. Vet clinics hold real money in scheduled drugs, vaccines and surgical consumables, and Xero on its own isn't built for expiry dates and drug register compliance. We pair it with a proper veterinary practice management system for stock, and bring summary journals into Xero for the financials.
Payroll is the other trap, after-hours and on-call shifts usually carry penalty rates and allowances under the award, and those need their own pay items, not blended into base pay, so you can actually see whether after-hours revenue covers after-hours labour cost.
Quick action items: confirm all income streams are coded as taxable, separate dispensing markup from consultation fees, track drug and consumable cost as a percentage of revenue monthly, and code after-hours pay items separately in Xero Payroll.

After-Hours and On-Call Payroll
Veterinary nurses and vets covering after-hours, weekend or on-call shifts are typically entitled to penalty rates and on-call allowances under the relevant award or enterprise agreement, separate from their ordinary hourly rate. These need distinct pay items in Xero Payroll, both for award compliance and so the clinic can actually compare after-hours revenue against the true cost of after-hours labour, a comparison that's impossible if everything is coded as one blended wages expense.
Inventory value and after-hours payroll are where most vet clinics lose visibility
We set up Xero Payroll with proper after-hours pay items and connect your practice management system's stock data into monthly reporting.

Compliance Calendar for Melbourne Veterinary Clinics
Standard BAS obligations apply quarterly, due 28 days after quarter end, with GST charged on all income. Superannuation guarantee at 12% applies to all employed vets and nurses, paid quarterly. Clinics running rosters with after-hours and on-call components should audit award compliance annually, particularly with STP Phase 2 requiring allowances to be reported as distinct line items rather than bundled into gross pay.
