Here's a conversation I have a lot with clients who run subscription or membership-style businesses, gyms, clinics on payment plans, agencies on retainer, coaches running monthly programs. They're using a card payment gateway for recurring billing, and every month a handful of payments fail. A card's expired. A limit's been hit. Someone's cancelled the card entirely and forgotten to tell anyone. And every one of those failures means someone on the team has to chase it up.
If that sounds familiar, this one's for you.
The real cost of card payments for recurring billing
Card gateways are brilliant for one-off purchases. For recurring monthly billing, they're not really built for the job. You're usually looking at somewhere around 1.7%-2.9% per transaction plus a flat fee on top, and that's before you count the cost of chasing every failed payment. Cards expire. Cards get cancelled. Limits get hit. None of that has anything to do with whether your client actually wants to keep paying you, it's just the nature of cards.
GoCardless works differently. It's a direct debit platform, built specifically for exactly this kind of recurring billing, pulling straight from a client's bank account via the BECS direct debit scheme here in Australia. No card to expire. No limit to hit. The failure rate is a fraction of what you'd see with cards, and the fees are generally lower too.
What this actually means for your bottom line
Say you're billing 80 clients a month at an average of $150 each. On a typical card gateway, you might be paying somewhere around 1.8% plus 30 cents per transaction, call it roughly $3 per payment once you add it all up. Multiply that across 80 clients, every month, and it adds up fast. Direct debit fees through GoCardless tend to come in lower, and because far fewer payments fail, you're not losing extra time and money on retries and follow-ups either.
The time saved is the part people underestimate
If you're billing 50 to 100 clients a month, chasing failed card payments and updating expired card details can eat up several hours every month, time that should be going into serving your clients, not doing admin nobody enjoys. With direct debit, that admin mostly disappears. Payments come out automatically, retries happen in the background, and you or your bookkeeper get to spend that time on things that actually grow the business.
It plugs straight into Xero
This is the bit I really like as a bookkeeper. GoCardless integrates directly with Xero, so recurring payments match up against invoices automatically. No manual matching, no guessing which payment belongs to which client. If you've ever spent an afternoon trying to reconcile a messy batch of card payments against invoices, this is the fix.
Not sure if direct debit suits your business?

Direct debit isn't the answer for every business, if you're mostly doing one-off sales, a card gateway still makes sense. But if you're billing the same client the same amount month after month, it's worth a proper look. That includes:
- Gyms, studios, and membership-based fitness businesses
- Clinics running structured payment plans
- Agencies and consultants on monthly retainers
- Coaches and course creators with ongoing programs
- Any service business with recurring monthly revenue as its main billing model
