The Admin Side of Trade Work Happens at Home, and It's Deductible

Most Melbourne tradies don't think of themselves as working from home. The work happens on-site, in vans, at customers' properties. But the quoting, invoicing, supplier ordering, scheduling and bookkeeping that keeps the business running almost always happens somewhere else, usually the kitchen table or a spare room, at night or between jobs. That's genuine work-from-home activity, and it's deductible, even without a dedicated home office.

The Fixed Rate Method: No Dedicated Office Required

Under Practical Compliance Guideline PCG 2023/1, the ATO's fixed rate method allows a claim of 67 cents per hour worked from home (2024-25 rate) to cover running costs, electricity, gas, internet, phone, and the decline in value of items like a laptop used for admin. Crucially, this method doesn't require a dedicated home office room. If you're doing an hour of quoting and invoicing at the kitchen table most evenings, that time counts.

What it does require is a genuine record of the hours actually worked from home across the full income year, not a guess applied retrospectively at tax time. The ATO tightened this substantiation requirement from 1 March 2023, and claims based on a rough estimate rather than a contemporaneous log (a diary, timesheet, or app-based record) are at real risk of being disallowed if reviewed.

The Actual Cost Method: For a Genuinely Dedicated Space

If you have a spare room or dedicated area used specifically for business admin, not shared with family use, the actual cost method may produce a larger deduction. It allows a claim for the business-use percentage of running costs plus depreciation on office furniture and equipment (desk, chair, filing cabinet), calculated against a representative four-week diary of use rather than a full-year log. This method suits tradies who've set up a proper home office rather than working from a shared space, and who are prepared to keep the more detailed records it requires.

Occupancy Costs: Usually Not Available, and a CGT Trap If They Are

Occupancy costs, a proportion of rent, mortgage interest, council rates, can only be claimed where a dedicated area is used almost exclusively for business, which is a much higher bar than either of the above methods requires. Most tradies doing admin from a shared space don't meet this test and can't claim occupancy costs at all. Even where the test is met, claiming occupancy costs can partially forfeit the main residence capital gains tax exemption on that portion of the home when it's eventually sold, a cost that's easy to overlook when chasing a modestly bigger annual deduction. For most trade businesses, this trade-off isn't worth it, and running costs alone (fixed rate or actual cost method) are the sensible approach.

This Is Separate From Vehicle and Tool Deductions

Home office deductions sit entirely apart from vehicle logbook claims, tool depreciation, and safety equipment, different categories, different rules, and fully claimable together. A tradie can legitimately claim a full logbook-based vehicle deduction, tool depreciation, and a fixed-rate home office deduction for admin hours, all in the same tax return, without one affecting the other.

Setting Up a Simple Record

The easiest system is a recurring calendar block or a simple spreadsheet logged weekly, 30 minutes on a Sunday to note hours spent on quoting, invoicing and supplier calls that week. The point isn't complexity, it's having something contemporaneous to point to if the claim is ever reviewed, rather than reconstructing a year of hours from memory in June.
